Multi-user collaboration

Jibility supports the ability to collaborate with a team of users for editing and viewing. With Jibility, you can share your roadmap with other users so that they can

1) See changes that you make in near real-time or view at any time; or

2) Collaboratively edit your roadmap at the same time or at another time.

NOTE: Free plan users can view only, for a shared roadmap. Paid subscribers can collaborate as an editor.

Multi-user Collaboration using Jibility Cloud

Jibility multi-user collaboration sharing is supported when your roadmaps are stored in the Jibility Cloud. If you choose to work in Local Drive mode, only basic file level collaboration is supported. To find out more about collaborating in Local Drive mode, please refer to the Collaboration Using Files article.

To collaborate with multiple users, please select the Jibility Cloud option in the top right corner of the home page.

Note: Multi-user collaboration is supported in the new Jibility Cloud v2. You must migrate to this version by following instructions here.

Sharing your Roadmap

To collaborate, the owner of a roadmap document must share their roadmap with other users and set their role as either an Admin, Editor or a Viewer.

1) Share your roadmap

Select the tile menu (three vertical ellipsis) to share a roadmap document and then click “Share”.


TIPS - a shared roadmap document will show a people icon in the top right corner of the tile. You can click on this icon to access the share dialog window. Also, this icon will show the number of users the roadmap is shared with.

2) Adding Users to share for editing or viewing

Jibility supports sharing by email invitation. For each user you want to share with, you must specify their name and a valid email address. The invitee will receive an invitation email to choose to accept the invitation.

To share

i) Enter a user's name and email address, select the required role, and click Add. For more information about shared roles, please see Definition of Shared Roles.

ii) When finished adding or changing, click the Apply button to save your changes

NOTE 1, the Share by Email dialog window will show the status for each added user as Pending, Invited, Accepted or Failed. Pending is waiting for the change to save by clicking the Apply button. Invited is waiting for the invitee to accept. Accepted is a shared user. Failed is usually caused by a bounced invitation email (i.e. invalid email).

NOTE 2, a Free plan user can share their roadmap for view only. To set a user as an editor or admin you must be on a paid plan. Also, the recipient must also be on a paid plan to be an editor or admin.

3) Accepting an invitation to a shared roadmap

The shared user or invitee will receive an email, as shown below. The invitee must be a registered Jibility user to accept the invite.

Clicking the Accept button will open your default browser and enable you to login as a Jibility user and add the shared roadmap to your Jibility home page.

4) Accessing a shared roadmap

Once a shared roadmap invitation is accepted, the shared roadmap will appear in the invitee's "Shared With Me" section of their home page, as illustrated below.

The invitee can access the shared roadmap or select the "Share" menu to manage other shared users (if an Admin), or see who the roadmap is shared with.

Definition of Shared Roles

Role

Description

Viewer

The user has read-only access to the roadmap.

Editor

The user can edit the roadmap but cannot share it.

Admin

The user can edit and share the roadmap and manage the shared users list. An Admin can also export the shared roadmap.

Owner

The user has the same permission as an Admin and cannot be removed as an Admin.

Note that an Admin cannot remove themselves as an Admin; only another Admin or the Owner can do this.

Editing Permissions and Subscription Plans

Jibility subscription plans define the features available to the user. Currently, only paid subscribers can edit or manage a shared roadmap.

For a shared user who is accessing a roadmap as an Editor, or Admin the following behaviour is expected.

Can edit or manage the shared roadmap but is restricted to Standard plan features only. e.g. Cannot apply labels or access advanced estimation features.

Professional Plan

Can edit or manage a shared roadmap with all Professional plan features.

Team (new Enterprise) Plan

Can edit or manage the shared roadmap with all the Enterprise plan features only.

Note: As of November 2021 the Professional and Enterprise plans have the same editing features. The Enterprise plan supports additional security features such as single sign-on.

How to tell when other users are active?

When a roadmap is shared and more than one user has the roadmap opened then you will see each user represented as a bubble in the top right corner next to the account icon. The bubble shown will have the first letter of the username and you can see their username in detail by hovering your mouse over the bubble.

In the following example, two users have the roadmap opened. One user has username starting with the letter "C" and the other is "J". Note that the user "C" is also showing a green border highlight which indicates that the user has made a change and it is now being applied to the this roadmap.

Undo and Redo

With multi-user collaboration we no longer support the ability to undo and redo. We do give you the option to undo a delete. A prompt like the following will appear in the bottom left corner. This prompt will disappear after approximately five seconds or if your perform another action.

Switching from old Share by Link to Share by Email

With the release of the Share by Email feature, the previously supported Share by Link is no longer enabled. If you had previously shared a roadmap using Share by Link, this will continue to function, but you cannot Share by Link for a new roadmap document.


To switch from Share by Link to Share by Email and gain the added features such as the Share with Me tile, you must Unshare your roadmap and then click share again. After unsharing, when you click share, this will now take you to the Share by Email feature.

Limitations

  • The simple rule is "The first to save wins" to resolve conflicting changes between multiple users.

  • Users on an Enterprise plan with a dedicated customer environment are restricted to sharing with users within their chosen identity provider pool only.

  • A roadmap owner cannot be removed. To change the roadmap owner, the roadmap must be exported, re-imported and re-shared by a new owner. An Admin can export a shared roadmap.

  • A maximum of 25 shared users is allowed.
